While a Kerika board may have several Board Admins, a board can be owned only by a single Account at any time. (And, all boards have owners.)
It's easy to see who owns any particular board: just click on the Board Team button on the top right of the Kerika app, and the Owner is always listed at the top of the board team.
The Owner owns all the files that are attached to the board, regardless of whether they are stored in Google Drive (for Kerika+Google users) or Box (for Kerika+Box users.)
Kerika makes sure everyone on the board team has the appropriate access to the files that are attached to the board, with Team Members getting read+write access and Visitors getting read-only access, but the ownership of the files remains with the Board Owner.
This makes the role of Owner important: this should be a person who is not likely to leave the organization; ideally, the Owner would be a service account.
Using a Service Account
A service account is used by IT departments to mitigate the risk of employee turnover and ensure that key accounts and computer assets are not owned by individual people who might quit or be fired.
A service account is set up like any other Kerika account: it needs to have an email address or Google or Box ID (depending upon whether your organization is going to use Kerika with Kerika+Google, Kerika+Box, or direct signup.)
Typically, the email address used for a Service Account is not controlled by a single (human) user: instead, the password is known to a small group of IT professionals who manage all the IT services being used by the organization. This ensures that there isn't a single point of failure: even if one of the IT staff members quits or is fired, there will always be someone remaining who can retain control of the email, and thereby retain control over the Kerika Service Account.>
How to change the Board Owner
The only person who can initiate a change in ownership if the board's current Owner
- Go to you Home screen in the Kerika app and select the board you want to transfer.
- Click on the board actions menu that appears on the top right of the board's card and choose the Change Owner option.
- You will be asked to provide the email address of the new owner of your board: this person must already have a Kerika account, of the same type as you; if you are using Kerika+Google, for example, the new owner must also have a Kerika+Google account.
- You will be asked to confirm that you really want to change the ownership of the board.
After you initiate a change in ownership, the new owner is informed and asked to accept ownership of your board. This may require the new owner to expand her Account Team if your board included Team Members that are not already part of the new owner's Account Team.
The step-by-step process
Specify the new owner of your board:
Confirm that you really want to transfer ownership:
While waiting for the new owner to accept your board, you won't be able to make any changes to the board. The board itself will appear like this on your Kerika Home page:
You can change your mind if you act before the new owner accepts the board: select the board card from your Kerika Home and you will be able to cancel the transfer.
